Position Purpose:

The Human Resources Coordinator supports learning by coordinating day-to-day administrative Human Resources functions, including responsibilities of receptionist, student employment, Colleague updates, employment, training, tuition assistance, on-boarding, adjunct faculty, and overload contract processing.

Essential Job Functions:

  1. Initial point of contact for daily Human Resources matters. Handles questions, requests, and inquiries made by employees and visitors in person, via telephone, and via email utilizing general understanding of HR legal compliance, along with university policies and procedures, referring to other HR team members, as needed.
  2. Processes all employee life-cycle changes in Colleague, including new hires, terminations, promotions/transfers, status changes, contracts, name changes, etc.
  3. Collects and enters all new hire paperwork and contracts for payroll.
  4. Responsible for maintaining accurate, up-to-date and complete personnel files for employees, student workers, volunteers, and contractors.
  5. Provides support to other HR functions as needed, such as recruitment or benefits.
  6. Processes background checks for new employees, volunteers, contractors, and student workers, as necessary.
  7. Initiates new staff/faculty set-up and participates in new hire orientation to assist with paperwork and review of ITS systems.
  8. Coordinates and manages enrollment and completion of HR online training programs for employees, student workers, contractors, and volunteers.
  9. Orders and maintains office supplies and forms. Sorts, opens, and date stamps department mail.
  10. Develops in-house procedure documentation in coordination with other HR team members.
  11. Processes forms for Tuition Assistance Program.
  12. Coordinates student employment forms and new hire paperwork for all on-campus employment.
  13. Assists HR team members with projects and/or implementation of new programs, when needed.

Essential Job Requirements:

Education:

  • Bachelor’s degree required.

Experience:

  • 2-3 years of related experience required, preferably in HR.
  • Experience in higher education or not-for-profit setting strongly preferred.

Skills:

  • Understanding of Human Resource functions and processes.
  • Excellent communication and customer service skills.
  • Ability to interact with a diverse group of faculty, staff, students, and parents and develop strong working relations with colleagues, staff, and administrators.
  • Excellent interpersonal and problem solving skills.
  • Excellent organization skills, strong detail orientation, and ability to manage multiple tasks, while maintaining accurate information and productivity.
  • Professionalism, maturity, and discretion are critical in order to handle confidential nature of function.
  • Ability to learn, apply new information quickly, and appropriately handle sensitive and confidential information.
  • Knowledge of Colleague desired.
  • Strong proficiency with Microsoft Office applications. Able to learn/utilize other software applications as needed.

Physical Requirements:

  • Ability to spend long periods of time at a computer work station.
  • Ability to move about campus and travel to other locations.
  • Minor lifting requirements, such as files or copy paper boxes, as needed.
  • Ability to use general office equipment.
  • Ability to interact in person, via electronic media, and on the telephone.
