Registrar-Student Accounts Clerk

Position Purpose: The Registrar-Student Account Clerk supports learning by assisting with the day to day operations of the Registrar’s and Student Accounts’ offices at the Orchard Center (Aurora, IL).

Essential Job Functions:

  1. Assists with the day to day operations of the Registrar’s office and Student Accounts’ office at the main campus and at Orchard Center.
  2. Serves as receptionist and assists students with questions related to registration, payment plans and tuition deferment.
  3. Works within various systems and student databases to create, update and maintains admission, academic and student account records and files.
  4. Assists academic departments and Admissions with both individual and group registrations.
  5. Educates new and returning students on how to use WebAdvisor for tasks such as registration, online payments, enrolling in payment plans, checking the status of financial aid, etc.
  6. Assists in processing and distributing incoming and outgoing mail. Oversees the Registrar email account/ticket system and distributes requests to appropriate staff.
  7. Responsible for 25 Live room reservation system for the academic spaces including uploading courses from Colleague into 25 Live and approving of academic spaces for campus events, professor requests and department meetings.
  8. Assists in creating the Academic Schedule and Final Exam Schedules for all campuses. Responsible for making any necessary updates to the Academic Schedule.
  9. Maintains Registrar’s web page.

Essential Job Requirements:

Education:

  • High School diploma required; Bachelor’s preferred.

Experience:

  • Minimum of three years administrative experience.

  • Flexibility to deal with changing needs.
  • Strong interpersonal skills and the ability to work effectively with a wider range of constituents.
  • Strong customer-service focus.

  • Excellent oral and written communication skills.
  • Proficient with Microsoft office applications.

Physical Requirements:

  • Ability to move about campus.
  • Ability to communicate verbally, through computer, and other digital media.
  • Ability to spend long periods of time at a computer station.
