Receptionist (32 hours per week)

Aurora University is an independent, comprehensive institution founded in 1893 offering bachelor's, master's, and doctoral degrees. Our two campuses are located in Aurora, Illinois and on the shores of Geneva Lake in Wisconsin. Additionally, we have an Educational Center in Woodstock, Illinois. Position Purpose: The Receptionist supports learning by providing clerical support to the Alumni Relations department. As the first contact for the Alumni Relations Office, the position is responsible for greeting visitors (in-person, phone and email) and determining the nature of their visit. This position also ensures that the department operates efficiently through support with Homecoming/Coming Home reservations, regular correspondence for the Vice President, processing budget requisitions and assisting with stewardship projects as needed. This position is a 12-month position working 32 hours per week.

Essential Job Functions:

  1. Greets visitors and university community staff in a positive and constructive manner in person, by telephone and via email.
  2. Manages Homecoming and Coming Home reservations through the iModules system. Prepares reports, nametags and other materials as needed.
  3. Prepares correspondence for the Vice President and assists with scheduling meetings and events.
  4. Reconciles budget requisitions and annual subscriptions.
  5. Assists with alumni mailings and running reports through Raisers Edge software.
  6. Assists with house management, insuring necessary supplies, upkeep, maintenance issues are reported.

Essential Job Requirements:


  • Bachelor’s Degree preferred


  • At least 3 years of reception/administrative experience (preferably in an academic setting)


  • Strong interpersonal skills and the ability to work effectively with a wide range of constituents
  • Strong customer-service focus
  • Excellent oral and written communication skills
  • Excellent organizational skills with an attention to detail
  • Ability to manage multiple projects simultaneously
  • Strong enthusiasm, motivation, and drive
  • Ability to work independently and as a member of the Alumni Relations team

Special Requirements:

  • Ability to work some evening and weekend hours
