Enrollment Assistant (Woodstock, IL)

Aurora University is an independent, comprehensive institution founded in 1893 offering bachelor's, master's, and doctoral degrees. Our two campuses are located in Aurora, Illinois and on the shores of Geneva Lake in Wisconsin. Additionally, we have an Educational Center in Woodstock, Illinois. Position Purpose: The Enrollment Assistant supports learning by providing administrative support to the Woodstock Center Enrollment staff. This includes, but is not limited to performing data entry of student records, generating letters and email communication to students and assisting the admission office in recruitment activities. This positions reports directly to the Director of Enrollment.

Essential Job Functions:

  1. Answers the phone and provides accurate information to prospective students; directs phone calls and visitors to appropriate staff members.
  2. Separates and distributes mail to staff; enters information into Colleague and maintains coordinating spreadsheets.
  3. Updates and maintains admission database: enters applications, inquiries and cancels, accurately and timely.
  4. Performs unofficial evaluation of transcripts
  5. Serves as back-up to the admission staff both in office coverage and off-site recruitment events, providing accurate information to prospective and current students.
  6. Handles electronic requests for information.
  7. Manages registrations, confirmations and attendance for admission events; handles spreadsheets for each event.
  8. Assists with preparation and coverage of admission events.
  9. Generates internal reports for admission staff.
  10. Assists in maintaining website content to assure that it is current and accurate.
  11. When necessary, assists with all enrollment office functions on all three campuses.
  12. Maintains admission inventory for office supplies and all programs. Restocks brochures and general materials.

Essential Job Requirements:

Education:

  • Some college required. Bachelor’s degree preferred; equivalent work experience in an administrative setting will be considered.

Experience:

  • Experience working in an office environment required. Higher Education experience strongly preferred.

Skills:

  • Goal-oriented
  • Excellent communication and organizational skills and a customer-service orientation and professional manner
  • Computer knowledge essential
  • Expertise in Microsoft EXCEL and WORD required
  • Ability to interact with a diverse group of faculty, staff, and students and to develop strong working relationships with colleagues, staff, administrators, students and the general public
  • Flexibility with an evolving work situation

Special Requirements:

  • Some evening and Saturday hours required
  • Ability to travel to all enrollment sites and off-site events
  • Valid driver’s license required

Physical Requirements:

  • Ability to move about campus
  • Ability to move about at those locations
  • Ability to interact via telephone, in person and via electronic media
