Clinical Placement Secretary - Part-Time 25 hours

POSITION PURPOSE:  The Clinical Placement Secretary supports learning by providing clerical support for the Director of Field Experiences, the Clinical Placement Coordinator, and university supervisors.  The Clinical Placement Secretary prepares the documentation supporting the teacher candidates' eligibility for field experience placements.  The Clinical Placement Secretary assembles all the files for the teacher candidate placements and reviews the files for appropriate content.  The Clinical Placement Secretary maintains and processes the requests for the credential file system.

Essential Job Functions:

  1. Creates and maintains documentation of candidates' eligibility for field placements.
  2. Prepares and communicates to candidates and the Director of Field Experiences regarding the status of eligibility for field experiences.
  3. Maintains and creates reports from a database regarding the diversity of field experience placements for the Director of Field Experiences.
  4. Manages the Credential file system with processing mailings for graduated students (copies credential, mails to school/district, deposit funds) and maintaining files.
  5. Supports the needs of the university supervisors (collects and processes paperwork, students' folders - assembles, collects, and reviews for completion).
  6. Creates, updates, and maintains the contracts for university supervisors and content supervisors.
  7. Processes Fingerprint Criminal Background Checks and DCFS Mandated Reporter Training for students in the Education program (maintains Access database, processes forms, deposits funds).
  8. Prepares exit survey packets distributed by the university supervisors.
  9. Collates, enters, and summarizes student teacher program exit survey results for analysis.
  10. Makes reservations for conference rooms for orientations and seminars for the Director of Field Experiences and designees.
  11. Assists the Director of Field Experiences with the typing of documents, reports, proposals, and correspondence, and meeting minutes.
  12. Handles the incoming phone calls from students, supervisors, and school personnel.
  13. Assists with the information management of the Moodle sites for Field Experiences as requested by the Director of Field Experiences.
  14. Assists the Clinical Placement Coordinator as needed.
  15. Orders supplies, duplicates materials, and requests for duplication of large projects at the request of the Director of Field Experiences.

Essential Job Requirements:

Education:  High School Diploma required.  Some college courses preferred.

Experience: Computer literacy required. Some business office or experience preferred.

Skills:

  • Excellent verbal and interpersonal communication skills
  • Proficient computer knowledge including word processing, spreadsheet, and database software abilities.
  • Ability to problem solve.
  • Ability to organize and prioritize to meet deadlines.
  • Demonstrate the ability to be flexible and multi-task in a fast paced environment.

Physical Requirements:

  • Ability to sit for long periods of time.
  • Ability to move about the campus.
  • Ability to interact on the phone or in person, and via electronic media.
